Advanced Rostering in Dome

If you've upgraded to the Dome then you have the additional task of managing rosters for more than one of your locations.

This article is designed to assist you with the basic setup of your advanced roster.

Before you begin this process, unless you know how to operate rosters within the Dome, please ensure that you are logged into the Dome rather than at one of your studio locations.

If you haven't setup operators

This article also assumes that you've already setup your operators at each location. If you haven't setup your operators:

1) Click on 'Admin' > 'Operators'

2) In the 'Operators' tab click 'New'

3) In the right-side panel enter in the operator's details then click 'Save'

4) Continue steps 1 -4 for each operator you need to add

5) To add an operator to a location click on the 'Sharing' link

6) Tick their locations then click 'Save'

If you have setup operators

If you're not sure you're in the Dome, click on Account then view the 'Package Type'. The type should be Dome License

Alternatively, the Dome location has a 'Locations' link between 'Appointments' and 'Reporting'

To enable Advanced Rostering for all of your locations within the Dome

1) Click on Settings Roster Settings

2) The 'Roster Settings' pop up will load on your screen. Tick the Enable Advanced Rostering tick box then click Save

Next, create your Roster Types.

Before you start rostering, you first need to create your Roster Types. The Roster Types are what you apply to your Roster i.e. Annual Leave, Sick Day, Rostered On, Rostered Off, Studio Closed etc.

Go to your Rostering tab in Admin. Here are some examples of various Roster Types. You can create your own by clicking the New option in your Roster Types section. Once you have created these here, you're ready to use the Roster.

When creating the Roster Types you'll have the  No Bookings Allowed and Do Not Overwrite options.

No Bookings Allowed - when creating roster types like Annual Leave, Sick Day, Day Off - this will ensure that when you use these roster types in the Roster, no bookings can be made with the operator.

Do Not Overwrite - This means that this particular Roster Type will not be deleted/overwritten if you change an operators roster times and clear the roster into the future. The clear will remove all other roster items, but not any that have 'Do Not Overwrite' selected i.e. Annual Leave

Setting up your first outlet

The Dome allows you to setup the roster for each location directly within the Dome account. To begin setting up the roster click on the 'Roster' link.

The 'Roster' will load. Please make note of the date range and drop down at the top of the 'Roster' page.

The drop down is currently showing you the name of your Dome account. Please ignore the first option in the list.

Setting up the roster for your studio outlets

3) In the Dome location pop back into 'Roster' and click on the drop down and select one of your locations

Please note that:

  • The 'Studio Inked - Designville', 'Studio Inked - Inkville', and the 'Studio Inked -Tattsville' example locations are our studio outlets
  • The 'Studio Inked' option is just the name of our Dome location, and doesn't represent a physical location to take appointments

At this stage, please ignore the first option so you only setup the roster for your studio locations

We've now selected the 'Studio Inked - Designville' location and our roster has loaded for the outlet:

Set your Opening Hours for the location

You can adjust your opening hours for the location you've selected by clicking on the 'Opening Hours' link at the bottom of the pageRoster_OpeningHours.png

Adjust the Opening Hours as you need for the location:

Remember to click 'Save' to update the changes.

Now that we've loaded into our 'The Studio Inked - Designville' outlet, we can setup our roster for this location:

4) Click the  icon next to one of your operators (i.e. Candice). On the right side, fill out the roster item details:

  • Roster Type: Rostered ON - This is the roster item we've selected
  • All is ticked for services available - The operator is allowed to perform all services they have been assigned
  • Candice is working from 9:00 am - 5:00 pm
  • Candice is working Tuesday, Wednesday, Friday, and Saturday

5) Click 'Save' to go ahead with the roster for Candice at 'Studio Inked - Designville' outlet

We can now see that the roster has been updated to reflect the change:

  • Roster_Location_Operator_Rostered.png

6) Click on the 'Roster' link again.

Notice how we've loaded back into the 'Stuo Inked' location (the Dome) and the items are now grey:

This is informing you that the items are not at the current location. Notice how 'Studio Inked - Designville' sits within each 'Rostered ON' item we created at the 'Studio Inked - Designville' outlet.

This is how you'll be able to tell the difference between where the operator is rostered when viewing the 'Roster'.

Candice is also working 9:00 am - 5:00 pm on Thursday at our Studio Inked - Inkville' location. We'll need to roster this in.

7) We can do this by clicking on 'Roster' > clicking on the drop down box and selecting 'Studio Inked -Inkville'

8) Click the  icon next to Candice. On the right side, fill out the roster item details:

We can now see that the roster has been updated to reflect the change:

The roster above tells us that Candice is Rostered ON at 'Studio Inked - Designville' on Tuesday, Wednesday, Thursday, and Friday and is Rostered ON at 'Studio Inked - Inkville' on Thursday.

Great! Candice has now been setup for the week!

Did you make a mistake?

You can tick each operator you need to delete the roster items for or tick the very top tick box to select all operators:

Please note that you will only be able to delete roster items at the location you've selected in the drop down

At the bottom of the roster table click the 'Clear Selected' link:

Choose the selection required to go ahead with the process:

Great! If you've made it this far, you have your head around the basics of Advanced Rostering at the Dome. That's all for now. See how you go having a play of your rosters.
