Being a tattoo studio, you most likely price per design and per hour, therefore much of the way you operate might be in time—the time it takes to complete a clients design is often the basis for how they are charged.
This article shows you how to create Gift Vouchers for set cash amounts, equivalent to the number of hours the client gets with the voucher—these works as great gift ideas. Alternatively, this is good for scenarios like when a client refers a friend and you want to give them some free time as a reward, you can give it to them in the form of a voucher.
Creating a voucher for a set number of hours.
For arguments sake, let’s say that your clients pay $150 per hour, so create a bunch of vouchers like a 2 Hour Voucher, which gives them $300 of value to use, a 3 Hour Voucher with a value of $450, and so on and so forth. Create as many vouchers as you need to cover all of your possible time amounts.
Go to Admin, then into Vouchers & Packages, click New in the Gift Vouchers section.
On the right side panel, fill out the details to create the voucher:
Gift Voucher Type is Cash, Voucher Name is something like 2 Hour Voucher, Retail Price is dependent on whether this voucher is one you are using to give away for free, which means that the retail price is $0, but if you're creating this voucher available for clients to purchase as a gift, then the retail price is $300 (seeing that the hourly rate is $150, and it's for 2 hours), Gift Voucher Value is $300, choose the voucher expiry, and click Save.
To show you both options, we've created two 2 Hour Vouchers—one with a retail price of $0, which is used for our scenarios like when a client refers a friend and we want to reward them with a couple of free hours, we can give them this voucher. The other with a retail price as $300, for clients who want to purchase this voucher, perhaps as a gift for someone. Both have the same value on them though, which is $300. So, the recipient of either of these vouchers has 2 hours of free time to spend, which is valued at $300 (because our hourly rate is $150—yours might be different, therefore your vouchers will need to be set up accordingly).
Now that the vouchers are created, let's look at how you can reward a client who has referred a friend with a free 2 Hour Voucher, as well as look to see how a client can purchase a 2 Hour Voucher as a gift for someone else.
Rewarding a client who has referred a friend with a voucher for free time.
To see the clients who have referred someone, go to Reporting, then Report List, then click the Client Marketing Report. Change the dates to bring up the day you recorded it against the new clients name, and click Show Report.
Click Show Details next to Clients Who Referred Someone.
Here are the clients who have referred someone. To reward them with the voucher, click the pink heart in their row. Note: if you would like to see who they referred, click the Details link.
On the right side panel choose the 2 Hour Voucher from the Gift Voucher menu, and click Reward.
The VOUCHER ID will display on the right side panel, write this number onto the physical voucher, which you give to your client. If you're not giving them an actual voucher, don't worry as you can look up this ID later in the clients client card. Then click Close.
All done. The voucher has been issued to the client who referred their friend, and next time they're fixing up their bill they can use their 2 hours of free time. To use the voucher and take this time off of the clients bill, simply add them to POS along with their services, click Receive Payment, choose Gift Voucher from the drop down menu, enter in the VOUCHER ID when prompted, click Continue, and the 2 hours of time will be taken off their bill, then they simply pay the remaining amount.
Purchasing a voucher as a gift for someone else.
Go to POS, add the client to the sale, click Add Items, choose Gift Voucher, pick the voucher they want form the menus on the right side panel, click Save, Receive Payment, choose payment type, Finish Sale, write down the VOUCHER ID on the physical Gift Voucher, which the client takes with them.
Then when the voucher comes back into the studio with the person who it was given to, simply add them to POS along with their services, click Receive Payment, choose Gift Voucher from the drop down menu, enter in the VOUCHER ID when prompted, click Continue, the voucher amount will be taken off their bill, then they simply pay any remaining amount.
